Glossary

Use this glossary as the plain-language reference for reusable business and warehouse concepts in ShipOS. It is written for people who may be new to fulfillment, shipping, inventory, or warehouse software.

Some dotted-underlined items explain a metric, behavior, or function specific to the page you are viewing, so they may not have a separate Glossary entry.

Orders & Fulfillment

Bulk Ship

A process that lets workers handle many similar fulfillment orders together instead of packing each order one at a time. For example, a warehouse might use Bulk Ship for hundreds of identical subscription boxes.View documentation

Draft Order

An editable order that has not entered warehouse processing. It can reserve inventory while payment or approval is pending. That inventory is Unavailable until the draft becomes an active order, when it becomes Committed.View documentation

Fulfillment

A record of products shipped from a fulfillment order in one package. It connects those products and quantities to the package, shipping label, and tracking number. A fulfillment order shipped in multiple packages produces multiple fulfillments.View documentation

Fulfillment Hold

A temporary stop that keeps a fulfillment order out of picking, packing, and shipping until the hold is released.

Fulfillment Location

A place recognized by a sales channel as able to prepare and ship orders. In Cybership, it normally represents or connects to a warehouse that can receive assigned orders.

Fulfillment Order

Warehouse work Cybership must complete for part or all of an order. It lists the products and quantities to ship, assigned warehouse, due time, and service level or rate shop. Each order automatically creates one or more of these records. Each can produce multiple fulfillments when products ship in separate packages.View documentation

Line Item

One product entry on an order or other record, including the product and the quantity involved. The same product can appear in more than one line when its details differ.

Manual Fulfillment

A way to record products as shipped without Cybership's standard picking process, such as a replacement package prepared separately.

Order

The complete customer purchase imported from a sales channel. An order may produce one or more fulfillment orders, but only those assigned to Cybership represent work for a Cybership warehouse.View documentation

Packing Station

A warehouse workspace where products collected during picking are checked, placed into packages, given shipping labels, and prepared for carrier pickup.View documentation

Partial Fulfillment

A shipment containing only some of the products or quantities on an order. For example, two in-stock products may ship today while an out-of-stock product ships later.

Picking Cart

A cart with separate positions, usually holding one tote each, that keeps orders organized during a picking session. It becomes available again after every tote is packed or moved to a Hospital Location.View documentation

Picking Session

A group of fulfillment orders assigned to a worker for one guided picking trip. For example, Cybership can guide a worker through the locations needed to collect products for ten orders at once.View documentation

Routing Rule

A rule that assigns a fulfillment order to a warehouse. Shopify routes Shopify orders. Cybership routes other orders using sellable inventory, customer proximity, defaults, and any warehouse selected on the order.

Tote

A reusable container that keeps picked products together until packing. Multi-item batches normally use one tote per fulfillment order, while a single-item batch can share one tote. After packing, the tote can be reused.View documentation

Unfulfilled

A status meaning that some or all products and quantities on an order have not yet been shipped.

Products

Assembly Product

A product created by combining or repackaging component products before it is stocked or sold as a finished good with its own SKU.

Barcode

A code workers can scan to find or confirm a product, location, tote, package, or other record.

Each

One individual item of a product: the smallest quantity Cybership uses for inventory calculations. For example, a case of 12 bottles contains 12 eaches.

Product

An item Cybership can identify and track through receiving, storage, picking, and shipping. A product can connect to one or more product listings on sales channels.View documentation

Product Listing

The version of a product shown on a sales channel, including its store title and identifying codes. For example, a Shopify listing called “Blue T-Shirt” can connect to the matching Cybership product.View documentation

Product Variant

A specific version of a product that a customer can buy, such as one size or color. Each product variant can have its own SKU or barcode.

SKU

Short for stock keeping unit: a unique code used to distinguish and track a product or product variant.

Unit of Measure

A way to describe how a product is counted or packaged, such as one individual item, a case, or a pallet. It also records how many individual items a larger unit contains, such as 12 items in one case.

Virtual Bundle Product

A product sold as one SKU while its components remain separate in inventory and are picked together only after an order is placed.

Inventory

Available

The quantity offered for new orders: On Hand (Sellable) plus Sell Ahead, minus Committed and Unavailable.

Committed

Inventory reserved for active fulfillment orders. It is subtracted from Available but does not change On Hand.

Inventory

The products and quantities a warehouse stores and tracks, including where they are and whether they can be sold or are already reserved.View documentation

Also called: Stock

On Hand

The total quantity of a SKU physically in a warehouse, including sellable and non-sellable stock. Reserved or incoming stock does not change On Hand.

On Hand (Sellable)

The On Hand inventory stored in locations that can supply customer orders. Damaged or quarantined stock is not included.

On Order

The quantity of a SKU on purchase orders from a vendor that the warehouse has not yet received. On Order is not yet On Hand and does not increase Available unless some of it is designated as Sell Ahead.

Sell Ahead

The portion of On Order inventory offered for sale before the warehouse receives it. It increases Available but is not yet On Hand.

Stock Record

A record of how much of one product is stored in one warehouse location, including the quantity and any applicable lot code. For example, it might record 25 units of a product in shelf A-01 from lot 123.View documentation

Unavailable

Inventory reserved by draft orders. It is subtracted from Available but does not change On Hand or On Hand (Sellable).

Locations

Bulk Storage

Reserve storage, usually away from daily picking, that holds extra inventory used to replenish a pick face.

Gaylord

A large container, often a pallet-sized box, that groups outbound packages for one carrier. Workers scan each package into the Gaylord, creating a record of what the warehouse placed inside before pickup. Carrier tracking records what happened after pickup.View documentation

Hospital Location

A quarantine location that keeps problem inventory out of allocation and picking. For example, a leaking bottle can be moved there while someone investigates it.

Location

A named place or container in a warehouse used to organize and track inventory.View documentation

Location Type

A category that describes how a warehouse location is used, such as storage, picking, returns, or quarantine. It can also control capacity reporting or billing.View documentation

LPN

Short for license plate number: a unique code workers scan to track a movable pallet or container through the warehouse.

Non-sellable Bin

A location whose inventory is excluded from Available quantities, commonly used for returns, damaged products, or quality review.

Overstock Bin

A reserve storage location that holds extra inventory for replenishment. For example, a pallet of products may stay in an overstock bin until workers use it to refill a picking shelf.

Pick Face

The primary accessible location from which workers retrieve a product while picking customer orders.

Pickable Bin

A location from which workers can retrieve inventory during picking.

Sellable Bin

A location whose inventory contributes to On Hand (Sellable) and Available quantities.

Static Location

A fixed warehouse storage position, such as a shelf, bin, or rack.

Warehouse

A physical facility where inventory is received, stored, processed, and shipped. A warehouse contains named storage locations and can be assigned fulfillment orders.View documentation

Shipping

Carrier

A company that transports packages, such as USPS, UPS, FedEx, DHL, or another delivery provider.View documentation

Carton

An optional saved box or mailer with a name, dimensions, and empty weight. Workers can select it when creating the physical package sent to the customer.View documentation

Dimensional Weight

The billable shipping weight calculated from how much space a package occupies. For example, a large box holding a lightweight pillow may be priced as heavier than its scale weight because it takes up more space.

Manifest

A carrier pickup document with one barcode for a group of packages. The driver scans it once instead of scanning each package label.View documentation

Package

The physical box, mailer, or other container a carrier transports. It records its contents, size, weight, shipping label, and tracking number. Each fulfillment is tied to one package.View documentation

Rate Shop

A rule that chooses the best option from approved carrier service levels. It can consider cost, delivery time, domestic or international availability, and service preferences so packers do not compare rates manually.View documentation

Return to Sender

A shipment the carrier sends back instead of delivering. It differs from a customer return, which the customer starts after receiving the order.

Service Level

A saved combination of shipping integration, carrier, and delivery service used to buy a shipping label, such as EasyPost + USPS + Ground Advantage.

Shipment Mapping

A rule that turns a checkout shipping method into warehouse shipping instructions. It assigns a service level or rate shop and calculates the ship-by deadline from its cutoff and timing. Unmapped methods use the Default SLA.View documentation

Shipping Label

The carrier document attached to a package. It shows the origin, destination, service level, and tracking number for that shipment.View documentation

Shipping Method

The delivery option a customer selects at checkout, such as Standard or Two-Day Shipping. A Shipment Mapping can turn that name into a service level or rate shop and a ship-by deadline. Without a mapping, Cybership uses the Default SLA.

Tare Weight

The weight of empty packaging and typical packaging material before any products are added. For example, it can include the box, tape, and protective filler.

Tracking Number

A code issued by a carrier and printed on a shipping label. It lets people follow a package from label creation through delivery.

Inbound & Production

Component

A product or material used to assemble or produce another product through a work order. For example, a mug, tea packet, or branded box can be a component of a gift set.

Disposition

The decision about what happens to an inspected item, such as restocking it, placing it in quarantine, returning it to a vendor, or disposing of it.

Finished Good

A completed product created from components and added to inventory when a production work order finishes. For example, the completed gift set becomes a finished good with its own SKU.

Purchase Order

A record of products expected from a vendor or supplier. For example, a purchase order may record that 100 shirts are expected next Tuesday and track how many actually arrive.View documentation

Putaway

The process of moving newly received inventory from the receiving area into its assigned warehouse storage locations. For example, a worker may move a received case from the loading area to shelf B-12.

Receiving

The process of checking products delivered to the warehouse against a purchase order or another expected delivery, then adding the accepted quantities to inventory.

Return

A record for products being sent back and processed. It tracks what is expected, what the warehouse receives, the inspection, and each product's final disposition.View documentation

RMA

Short for return merchandise authorization: a reference number used to approve and track a return from creation through warehouse processing.

Vendor

A company or person that supplies products or materials received by the warehouse.View documentation

Work Order

Instructions for warehouse work outside the normal process of shipping customer orders. For example, a work order for an assembly product can tell workers which components and quantities to use when making 50 gift sets.View documentation

Warehouse Operations

Allocation

Inventory set aside for a specific fulfillment order so the same units are not promised to another order. For example, allocating 2 of 10 units leaves those 2 units committed to that order.

Cycle Count

A check of selected physical inventory against Cybership's recorded quantities without stopping warehouse operations for a full inventory count.View documentation

Discrepancy

A difference between the quantity recorded by the system and the quantity physically counted. For example, Cybership showing 10 units when a worker finds 8 creates a discrepancy of 2.

FEFO

First expired, first out: a picking rule that selects inventory with the earliest expiration date before inventory that expires later.

Inventory Adjustment

A correction to recorded inventory after physical stock is added, lost, moved, or recounted.

Inventory Change

A history record showing why Cybership created, increased, decreased, moved, or removed an inventory quantity. For example, receiving 10 units creates an increase, while picking 2 units records why stock decreased.

Location Count

A cycle count that checks every product stored within selected locations. For example, counting shelf A-01 means checking every SKU physically present on that shelf.

Location Issue

A tracked problem involving inventory or a warehouse location, such as damage, incorrect stock, or blocked access.

Lot Code

A code that groups product units made or received together so workers can trace that group. For example, food made on the same day may share one lot code for expiration tracking or a recall.

Needs Replenishment

A product state showing that a pick face needs more stock. Cybership uses it when the pick face does not have enough inventory for allocated orders or its quantity has fallen below the replenishment level.

Packing

The process of checking picked products, placing them into packages, and preparing each package for shipping.

Picking

The warehouse process of retrieving the correct products and quantities from storage locations. For example, a worker may collect two shirts from shelf A-01 for a customer order.

Product Count

A cycle count that checks selected products everywhere they are stored. For example, counting one SKU means checking that product in every shelf, bin, and pallet location.

Quarantine

The process of isolating inventory with a possible problem so it stays out of allocation and picking. For example, damaged or recalled products can remain in quarantine until someone decides what to do with them.

Replenishment

The process of moving inventory from bulk storage to a pick face so workers have enough stock for picking.View documentation

Replenishment Level

The lowest amount of inventory that should remain in a pick face. For example, if the level is 10 and the shelf falls to 8 units, Cybership can create replenishment work when bulk storage has more.

Teams & Billing

3PL

A third-party logistics provider: a business hired by other companies to store inventory and perform picking, packing, and shipping for customer orders.

Charge

A billable amount created for a specific warehouse service or cost. For example, packing an order may create one labor charge and one packaging-material charge.View documentation

Fulfiller

The warehouse business or team responsible for receiving, storing, picking, packing, and shipping inventory for a merchant.

Invoice

A billing statement that groups charges owed by a merchant to a fulfiller. For example, a monthly invoice may combine picking, packing, packaging, and storage charges.View documentation

Managed Account

A sign-in a team creates and controls, often for a warehouse worker without a work email. The team can update the account and reset its password. It belongs only to that team.

Merchant

The business that owns the products and customer orders. It can hire a fulfiller or 3PL to handle warehouse work.View documentation

Rate Card

A set of pricing rules used to calculate what a merchant owes for warehouse work, such as picking, packing, or storage.View documentation

Sales Channel

A store, marketplace, or other system where customers place orders, such as Shopify, WooCommerce, TikTok, or Amazon.View documentation

Shop

A connection between Cybership and a sales channel. It controls which orders, products, inventory quantities, and tracking updates Cybership sends to or receives from that store.View documentation

Team

A Cybership workspace that groups users, access permissions, settings, and business records. A team can operate as a merchant, a fulfiller, or both.View documentation

Unmanaged Account

A person's own Cybership sign-in, added to a team by email invitation. The person controls their profile and password, while each team controls their role and access. The account can belong to multiple teams.

People & Labor

Clock In

The action that starts a worker's recorded labor time for a shift or assigned labor job.

Also called: Clocking In, Clocked In

Labor Activity

A record of time a worker spent on a labor job, including when the work started, ended, and which job or assignment it belonged to.

Labor Job

A named type of work used to organize assignments and recorded time, such as picking, packing, receiving, or another warehouse activity.View documentation

Shift

A scheduled or recorded period when a worker is expected to perform warehouse work, such as a morning shift from 7:00 a.m. to 3:00 p.m.View documentation

Worker

A team member who performs or records warehouse work such as receiving, picking, packing, replenishment, or cycle counts.View documentation
